How do I import custom field information?

If you have information stored in custom fields or in categories that do not fit Batchbook's default fields, you can use SuperTags to import it! We think this is easiest to show by example, so enjoy!

Here is an example of a hotel that keeps some custom information about its guests. This information is stored in a spreadsheet. Every column after Phone is a custom field.

SuperTag fields can hold any of your custom field data. Create a SuperTag and add fields to correspond to your existing custom information. You can add these all as text fields for easy transition, or you can create other field types, such as date and multiple choice fields.

NOTE: If it makes sense for organization, feel free to create multiple SuperTags to store your information. Just remember that each SuperTag can store as many fields as you would like, so the reason to use multiple SuperTags is if you have distinct groups of information. For our example, we might have one SuperTag to hold all Guest Detail information, but another SuperTag to hold our custom fields for Vendor information.

AFTER you have added all of the custom fields you need using SuperTags, download the Custom Import Template. You will find the link for the template in the Import Contacts box, which is in the right-hand column on the Contacts tab.

Your new SuperTag fields will show up as column headers in the Import Template. You can copy and paste your custom data under these column headers.

Fill out the Import Template by copying and pasting all of your information (including all the default field information) into the proper columns. Save the file, checking to make sure it is still a CSV file.

Go back to the Import Contacts box and select to import a CSV file. Find the saved Import Template and upload it.

All of your custom field information will be imported and stored in the SuperTags section on the Contact detail page. You will be able to view the information at a glance, as well as search and build lists from it.
