Tutorial: Managing Sales With Batchbook
There are many different ways you can manage your sales process in Batchbook. Below is a brief overview of how you can use 3 main tools; SuperTags, To-Dos, and Deals, to stay on top of your sales.
All sale(s) details can be managed from the contact view
In Batchbook, the Contact view is your most valuable asset. From this view, you can manage your entire customer relationship.
- SuperTags can be used to track important details, such as your lead process.
- To-Dos can be assigned for when you have date specific tasks.
- Deals can be attached to this view, and are a great tool for managing each specific sale with a customer.
Using SuperTags: Identify Your Leads
You can track lead information for any contact using a SuperTag. As an example, we have created a SuperTag called leads and added a few fields.
Not sure how to create a SuperTag? Check out this tutorial.
Using SuperTags: Fill Out Important Information About the Lead
When you add a SuperTag to a contact, you are presented with a box where you can immediately fill out any information you have on the lead. You can also edit and add information later.
Using SuperTags: View Lead Information Right in the Contact View
The information you fill into the SuperTag will show up right in the contact's detail page. In this example, you can quickly see important details about the lead. SuperTags work so well for tracking lead information because you can quickly see the status of a lead from their contact detail page. You can also quickly edit this information (click on the blue pencil) so you can keep the lead up to date and track its position in your sales process.
Using SuperTags: Pull Up Lists of Leads Based on SuperTag Information
While it is great to be able to view the SuperTag data right on the contact screen, that is not all you can do with it! You can build a list based on the data you enter into the SuperTag fields. For this example, we built a list of all of Richard Middleton's leads that need a phone call. You can filter your list using the SuperTag fields as well as Batchbook's default fields.
Lists are very useful. A list like this would be great for a sales rep to make calls from. Lists are also an easy way for managers to keep track of leads.
Want to learn how to build a list? Check out this tutorial.
Using To-Dos: Create a To-Do When You Have a Date Specific Task
Click on the Quick Add button for To-Dos. To-Dos are a great way to stay on top of date specific tasks.
The task will show up in the Activity Log, as well as on your Calendar and Dashboard. You can even set To-Do reminders to be emailed to you.
Using Deals: Create a Deal when a Lead Turns into a Sale
Add a new deal to the contact by clicking on the Quick Add button for Deals. We suggest doing this once you are reasonably sure that you are going to make a sale from the lead. A deal is a separate view from the contact, and is a great place to track sale specific information. This is especially true when you have more than one sale per customer.
Using Deals: Track Sale Information Inside of a Deal Using a SuperTag
SuperTags work on Deals as well, so you can use one to track all the info that is directly related to the sale. You can also search for deals based on this SuperTag information. Deals already have fields in place to track status and amount.
Using Deals: Track Your Sales Pipeline on Your Dashboard
You can use the Sales Overview Dashboard widget to get a quick glimpse at your entire sales pipeline.
Customize this process to your own needs
Now that you have seen how you can manage your sales in Batchbook, it is time to get in there and customize your own Batchbook account. You can follow the tutorial and create 'leads' and 'sales' SuperTags customized to your own process, or you can get creative. Take some time to get comfortable with Batchbook's tools, then incorporate your whole sales process!
